Assistant Funding Specialist

What You’ll Do

This position is designed to provide a comprehensive foundation in grant management. Under the mentorship of our Funding Specialists, you will master the "ins and outs" of state and federal funding platforms, ensuring our projects remain compliant, organized, and ahead of schedule. This role isn't just about tracking data—it’s about learning the mechanics of how major projects get funded and built. As you master the fundamentals of reporting and tracking, your career path can evolve.

Key Responsibilities

  • Compliance & Reporting: Own the calendar for awarded grants. You’ll monitor reporting schedules and complete required documentation to ensure we stay in good standing with our funders.
  • Opportunity Tracking: Maintain an active schedule of open grant windows and keep a pulse on federal and state portals for any updates, amendments, or new releases.
  • Platform Mastery: Become our internal expert on portals like SAM.gov, Grants.gov, and various state-specific systems to facilitate seamless application uploads.
  • Data Stewardship: Cultivate a high level of accuracy in managing financial data and tracking the status of our diverse funding portfolio.
  • Internal Coordination: Assist in maintaining the internal database of project status and documentation, ensuring the funding team has real-time access to accurate project files.
  • Funding Research: Assist the senior team in digging into project needs and identifying potential funding matches to help our initiatives grow.

Minimum Qualifications

  • High School Diploma required; Associate’s degree or college coursework preferred.
  • 2+ years of experience in an administrative assistant role or similar professional office experience.
  • Excellent written and verbal communication skills (must be comfortable reading and summarizing documents).
  • Strong research and analytical skills; a "detective" mindset.
  • Top-tier organization and time management skills.
  • Extreme attention to detail (experience with data entry or document control is a plus).
  • Proficiency in Microsoft Office Suite, with a strong emphasis on Excel.
