Job Description: Operations Analyst II – Special Processing Team

We play a critical role in ensuring the integrity and compliance of residential mortgage loan documentation, and you'll have the opportunity to make a significant impact by supporting process improvements and exception resolution. We serve as the primary liaison with our custodian partners, managing document exceptions across a broad spectrum of home lending products and ensuring each loan file meets custodial, investor, and regulatory requirements. As a temporary Operations Analyst II for the Special Processing Team in Home Lending, you will lead cross-functional initiatives and serve as a key partnership liaison with our custodian on document exceptions and remediation efforts. You will perform advanced analytical and operational tasks, with a strong emphasis on project leadership, process optimization, and leveraging technology and AI to enhance efficiency and strengthen operational controls. You will coordinate efforts across multiple teams and layers of processors and leadership, utilizing data transformation tools (such as Alteryx, Tableau, and Python) and AI-driven solutions to drive automation, support strategic decision-making, and produce documentation, reporting, and executive presentations.

Job Responsibilities

  • Lead project initiatives across multiple teams and various layers of processors and leadership, ensuring alignment, timely execution, and effective change management throughout the organization.
  • Serve as primary liaison with custodian partners, managing the resolution of document exceptions and ensuring compliance with custodial, investor, and regulatory requirements.
  • Analyze and interpret complex data sets related to document exception trends, utilizing advanced data analytics skills to identify root causes, uncover patterns, and provide insightful reporting that drives process improvements.
  • Develop and implement analytical solutions for exception management workflows, focusing on leveraging AI and building AI-powered tools to optimize and reduce manual processes.
  • Create and interpret reporting for custodian relationships and internal stakeholders, conveying results in a clear and professional manner to all levels of staff, including senior management.
  • Coordinate cross-functional collaboration across operations, quality control, underwriting, and closing teams to align efforts, share knowledge, and drive successful implementation of process improvements and exception resolution strategies.
  • Ensure data integrity through automated extraction, processing, analysis, and reporting of exception metrics and trends.
  • Utilize strategic thinking to evaluate process gaps, assess risks, and make informed decisions that directly impact departmental outcomes and custodian relationships.
  • Lead or support projects and tasks, ensuring timely completion and proactive communication of issues, risks, and opportunities to management.

Required Qualifications, Capabilities, and Skills

  • Demonstrated ability to lead projects across multiple teams and organizational layers, with strong stakeholder management and influencing skills equivalent to 3+ years of experience.
  • Focus on uncovering patterns and providing insightful reporting, showcasing expertise equivalent to 3+ years of experience.
  • Demonstrated proficiency in developing and implementing process improvements and automation strategies, with a strong understanding of operational workflows.
  • Ability to organize and prioritize multiple projects and responsibilities with accuracy and attention to detail, working independently in a fast-paced environment.
  • Strong written and verbal communication skills, with the ability to influence and collaborate across diverse teams and build effective partnerships with internal and external stakeholders.
  • Experience creating presentations and reports for all levels of management, with an executive presence and ability to translate complex information into actionable insights.
  • Strong project management skills, including the ability to lead initiatives, manage competing priorities, and meet deadlines in a dynamic environment.

Preferred Qualifications, Capabilities, and Skills

  • Capability to leverage artificial intelligence and AI tools to enhance data analysis, uncover operational trends, and provide actionable insights for strategic decision-making.
  • Proficiency in implementing automation solutions to streamline exception management processes and improve operational efficiency.
  • 3+ years of experience in mortgage banking, loan operations, document custody, quality control, or a related analytical field.
  • Strong analytical skills—independent, logical problem solver with the ability to synthesize data, identify trends, and project outcomes.
  • Experience leveraging AI and building tools using AI in a business context and model building.
  • Familiarity with mortgage-based operating systems (e.g., Black Knight, MSP, LOS platforms) and custodian portals or document management systems.
